Submission of Manuscripts for IEEE Conference Proceedings


All papers presented at the symposium will be published in IEEE’s 16th Symposium on Electromagnetic Launch Technology Conference Proceedings and will be included in IEEE’s Digital Xplore® library.


1. All submissions must follow the two-column format of the Conference Proceedings and must be an IEEE Xplore-compliant PDF file (see how to create press quality PDF files). Documents that do not meet this requirement will not be included in the Conference Proceedings or in IEEE’s Digital Xplore® library.


2. The appropriate copyright notice must appear on the bottom of the first page of each paper:

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S Government work not protected by U.S. copyright.
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-4673-0305-7/12/$31.00 ©2012 Crown.
  • For all other papers the copyright notice is: 978-1-4673-0305-7/12/$31.00 ©2012.IEEE.


3. Use the following file naming convention for your paper: EML Paper #_primary author’s last name (for example, 350_fair).


4.  IEEE PDF eXpress PLUS is the only way to submit papers.

Go to the IEEE’s PDF eXpress PLUS site at http://www.pdf-express.org/plus and follow the instructions to create your PDF eXpress Plus account and submit source files for conversion into IEEE Xplore-compatible PDFs or to check a PDF file that you created for IEEE Xplore compatibility. When you have an acceptable, IEEE Xplore-compatible PDF, you will log back into your PDF eXpress Plus account and approve your PDF for collection by the conference.


5. Submit the online Copyright Form. Appropriately executed Copyright forms must be included with each paper. This form must be completed in order for your paper to be published in the Conference Proceedings.

 

About IEEE PDF eXpress Plus
To assist our authors in meeting the Xplore-compliant PDF requirements, we have subscribed to IEEE’s PDF eXpress PLUS. This comprehensive online tool helps IEEE conference authors to create PDFs that meet the current IEEE Xplore requirements, and provides a simple mechanism by which conference organizers can collect final papers. Site support is maintained via 24 hour online help (PDFSupport@ieee.org).

How to Create Press Quality PDF Files
You are responsible for and will need to convert your document to a PDF format that is IEEE Xplore® -compatible. The following details how to create press quality PDF files.

How to create Press Quality PDF in Microsoft Word 2007

  1. Open your manuscript files in Word.
  2. Select the Acrobat tab. Then select Preferences.
  3. Under settings select PRESS QUALITY from the Conversion Settings menu.
  4. Select Advanced Settings. Select fonts and make sure the Embed all fonts box is checked. Press OK to save changes. If no changes were made select cancel. Select OK to return to document. If you made changes you will be asked to save them at this time.
  5. Save your document.


How to create Press Quality PDF using a Microsoft Word document using Adobe
Acrobat (Acrobat 5.0 or higher)

  1. Start Acrobat Distiller from the Acrobat Option, choose Advanced > Print Production > Acrobat Distiller.
  2. When the Distiller box opens select Press Quality from the Default Settings menu.
  3. Make sure that all fonts are embedded: Settings > Edit Adobe PDF Settings. Select the Fonts folder and make sure the box by Embed all fonts is checked. If no changes were made to the manuscript select cancel; if you made changes select ok to accept changes.
  4. In Acrobat Distiller: File > Exit. This will return you to Acrobat.
  5. To create PDF: Select PDF from File in the Create menu.
  6. Select your Manuscript Word document.
  7. Save your manuscript as a PDF file.

 

The submitting author is responsible for obtaining agreement of all coauthors, organizational approval, and any consent required from sponsor approval prior to submitting their paper.

International Traffic in Arms Regulation (ITAR)

All authors submitting material to the IEEE’s EML Symposium under the below criteria are expected to obtain any needed clearances for their works to be freely published in IEEE publications. Authors who:
  •  are U.S. nationals (including green card holders);
  • work for a U.S.-based organization, regardless of where they are physically located; or,
  • work at a U.S. location of a non-U.S.-based organization must also ensure that ITAR compliance has been obtained for any and all papers submitted to the EML Symposium for presentation/publication.

It is solely the responsibility of the author, submitting authors and/or co-authors of a publication to ensure ITAR compliance, to seek authorization for publication, and/or to confirm contractual obligations that may restrict publication.

IEEE and the EML Symposium assumes that each author involved in government contracts will meet their contract obligations and that these obligations will, by definition, satisfy the requirements for ITAR compliance. This is consistent with longstanding IEEE policy that authors obtain necessary approvals before publishing with IEEE. 

Clearances must be obtained well in advance of the submission deadlines. Further, it is the responsibility of an author who make changes to their manuscripts/presentations to have all changes cleared in advance of the deadline/publication. This applies to all authors.
